Pro-actively manage all customer communication, planning and implementation for outbound shipments relocations. As a minimum, calls to the customer must be made
Liaise with Agents, to ensure the swift provision of information relating to each shipment
Ensuring the safety and security of customers and Company property and monies
Must comply with all local Health & Safety guidelines
Ensuring Service standards are upheld
Provide assistance in all administration matters as and when required
All other ad hoc tasks as required by the company
Ensuring that all documentation relating to the consignment is sufficient to enable staff to provide the service promised
Must able to prepare inter-branch charges in liaison with relevant parties
The candidate must enjoy working as part within a collaborative team environment
Prompt attendance, observing minimum working hours and applying a flexible approach to additional work to meet the needs of our customers
Bing able to co-ordinate and manage container load lists, ensure GRN’s are sent to the client
Must be able to update and maintain sailing schedules on in-house system
Liaise with shipping lines to ensure timely issuing of bill of lading and confirmation of loading
Preparation of bills of lading & all related documents in a complete and timely way
Completing and forwarding documentation to destination offices/agents to ensure the timely arrival notices are sent, and or to ensure the delivery of the consignment is handled smoothly in the case of DDU shipments
Ensuring that shipment status Reports are done accurately
Tracking, Tracing & transshipment reports are sent out to the client
Monthly completion of the profit & losses
Liaise with all sales colleagues to exchange appropriate information about specific customers or market intelligence gained
Quality Control of Invoicing; and issuing of bills of lading (a culture of quality assurance verses quality control to be maintained)
Processing costing information supplied advising customers of any discrepancies on additional costs, invoice and collection of payment
Ability to respond to customer enquiries, answering the phone ensuring all information is recorded accurately
Must be able to prepare all necessary documentation for the movement of the consignment, and all internal documents
Maintain and compile necessary information to enable efficient planning and implementation of export service to be provided to customers
Responsible & accountable by ensuring that files are opened correctly
Advising the Team Leader / Manager of any complaint or claim arising from an inbound/outbound move
Being able to participate in and contribute to departmental meetings
Must have clear and professional communication with destination offices/agents as and when necessary
Being able to participate in and contribute to branch meeting
- Minimum Requirements
-
Minimum of Grade 12 / Matric
Certificate or Diploma in Supply Chain Management NQF 5
Minimum of 5 years working experience within the industry focusing in Ocean Freight
